Library Resource Management Module
Quite often training resources are not stored on-line, and typically the cataloguing and loaning of these items is performed manually. By being able to automate this process the management of these training resources can be handled more efficiently.
For example your organisation may provide learning resources such as DVDs, Audio Tapes, and Books etc, to be made available for loan to the Learners within your organisation.
The “Library Resource Management” module in Armelenos has been designed for organisations that want to catalogue, monitor and manage their library of physical training resources. These library resources are typically books, magazines, videos, CD’s, DVD’s and audio tapes, which are available for loan by the students or employees of an organisation.
Library personnel are required to handle the physical task of the loaning and returning of library items, as well as entering this information into Armelenos so it reflects the real time view of the library resources within the organisation.
This allows the Managers and Learners to have a real time view of the current status of the resources in the library and ensure that everybody has the most up to date information.
In Armelenos the Trainers are responsible for creating the catalogue of library resources and this process includes entering each library item as well as associating it to the relevant category. The purpose of creating categories for library items like books, videos, DVD’s etc. is to group similar items together so they are easier to find when you want to locate them.
You can also enter “key words” for library items so that they are easier to locate when the Learners or Managers want to locate them by performing a search.
Attributes for a library item or category can also be entered like how long it is allowed to be out on loan, as well as any associated ISBN numbers or internal identifiers that you may use internally for a library item.
The Managers are responsible for handing the requests from Learners for the loan of library items and enter the relevant information into Armelenos once a Learner has borrowed an item. When the library item is returned to the Manager they then update Armelenos with this information so the library item becomes available again.
Library items can also be reserved on behalf of the Learners by the Managers. The Managers can view the availability of a library item over time, determine when a library item is available, and then reserve the item for one of those periods. Reserving a library item for a Learner prevents others from loaning the item for the period it has been reserved for.
The “Library Resource Management” module interacts with the “Messaging and Proactive Reporting” module in Armelenos. It will send reminders to the Learners when they have a library item out on loan that is about to become overdue.
Managers can also generate a report on library items that are overdue, which allows the Manager to keep track of exactly who is in possession of the overdue library items.
Learners cannot loan library items directly in Armelenos and must go through their Managers when they want to loan available library items, or reserve ones for the future that are currently out on loan.
Both Learners and Managers are able to search the available library resources to check if the item they require is in the catalogue, as well as make loan and reservation requests to their Managers.
The features in the “Library Resource Management” module include the ability to:
  • Create a library of physical training resources;
  • Create categories for physical training resources;
  • Create default loan periods for library resources;
  • Assign associated ISBN numbers to books in a library;
  • Assign internal identifier codes to library resources;
  • Assign key words for library items to assist searches;
  • Perform searches for library items using the title, description and internal and external identifiers fields;
  • Loan available library items to the Learners in Armelenos;
  • Reserve library items for the future when they are currently out on loan;
  • Send messages automatically to notify Learners when loaned library items are about to become overdue;
  • Provide a real time view of the current status of the library resources.
